We do not collect sensitive personal information (as defined in POPIA section 26) through any of these channels.

3. Purpose of Processing

We process your personal information solely for the following purposes:

• Complying with legal or regulatory obligations

We do not use your personal information for unsolicited marketing without your consent, and we do not sell or rent personal information to third parties.

4. Lawful Basis for Processing

Processing of your personal information is lawful under POPIA because:

• Consent — you voluntarily submit the contact form or initiate a chatbot conversation;
• Legitimate interest — to respond to business enquiries directed at us; and / or
• Contractual necessity — where processing is necessary to take steps at your request prior to entering into a contract.

5. Sharing of Personal Information

Your personal information may be processed by the following third-party service providers acting as operators on our behalf:

• Web3Forms (web3forms.com) — processes contact form submissions and delivers them to our email inbox. Data is transmitted securely and is not retained for marketing purposes by Web3Forms.
• Email service providers — used to receive and respond to enquiries.

We do not transfer personal information outside of South Africa except as required to deliver our email infrastructure, in which case we apply appropriate safeguards as required by POPIA section 72.

6. Retention of Personal Information

We retain personal information for as long as necessary to fulfil the purpose for which it was collected, or as required by applicable law. Enquiry correspondence is retained for a minimum of three years in accordance with standard business record-keeping requirements, after which it is securely deleted or anonymised.

7. Security Safeguards

We take reasonable technical and organisational measures to protect your personal information against loss, theft, and unauthorised access, processing, or disclosure. These measures include:

• HTTPS encryption for all data submitted via this website
• Restricted internal access to contact records
• Secure email infrastructure

In the event of a personal information breach that is likely to prejudice your rights, we will notify the Information Regulator and affected data subjects as required by POPIA section 22.
